What Records Support My OWCP Mileage Reimbursement Request?

Keep records showing that you attended the medical appointment and documenting the trip’s route and distance. An appointment notice shows that a visit was arranged; it does not, by itself, show that you attended. The records should match the actual trip you are claiming.

How can I show that I attended?

Ask the doctor’s office for a record confirming your visit. The receptionist or another staff member may be able to provide an attendance confirmation. Keep that record with the travel request.

What should the map show?

A Google Maps or Apple Maps printout can show your starting point, the doctor’s location, the route and the mileage. Use the actual route and check that the mileage entered matches the trip. Avoid treating an unnecessary detour as ordinary medical travel.

How should I put the request together?

Keep the attendance confirmation, map and completed reimbursement request together. Check the current mileage form and its instructions; OWCP provides a Medical Travel Refund Request for mileage. The dates and trip details should agree across the records.

Does that guarantee payment?

No. Documentation helps explain the trip, but the request still has to meet the applicable reimbursement requirements. A clear record gives you something specific to refer to if OWCP asks for more information.
